Admin Support / Project Information Specialist (Travel & General Admin) (Non-Exempt for Reef Systems)
Job Summary This mid-level position provides dedicated administrative, financial-adjacent, and travel program support to USTDA operations and program staff.
Core Responsibilities
Deliverable & Invoice Verification: Review and verify incoming contract and grant deliverables, including cost-share certifications, final reports, and associated grant invoices for completeness.
Travel Management Support: Assist the Office of Administration by coordinating logistics and managing travel requirements for agency staff in accordance with federal travel rules.
RFP Package Review: Audit grant RFP packages for consistency and completeness in conjunction with program staff prior to public posting.
Process Mapping: Update and maintain the Information Resource Center (IRC) Document Flow Process Map, tracking business efficiency and processing points of intersection.
Subscription Tracking: Monitor and track the expiration dates of all external publications and subscriptions; draft formal action memoranda for renewal requests.
Minimum Qualifications
Education: College degree required in Business, Information Management, or a related field.
Experience: Minimum of 7 years of administrative management experience, with explicit experience in federal travel regulations, office logistics, or basic financial compliance tracking.
Clearance: U.S. Citizenship with the ability to obtain and maintain a SECRET security clearance.
